Job Summary

The Administrative Assistant works under general supervision.  Duties and responsibilities include providing administrative support to senior professionals. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the hospital's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Typically reports to the head of a unit/department, Director or AVP.

Core Job Responsibilities

Administrative Duties - The administrative assistant performs administrative support duties including but limited to: answering and directing phone calls; organize and schedule meetings and appointments; producing and distributing correspondence memos, letters, faxes and forms; maintaining computer and manual filing systems.

Project Oriented - The administrative assistant performs project oriented tasks including but not limited to: collection of quality data; analysis & evaluation of quality data; preparation of charts & diagrams; preparation of detailed flowcharts & procedures; working autonomously on large or small scall projects; planning methods to collect data, compose routine correspondence; maintain historical data; coordinates preparation & distribution of procedures. 

Service Excellence - The administrative assistant addresses visitor issues including but not limited to: providing general support to visitors; responding to requests and making active referrals to subject matter expert/decision maker who can fulfill the request; provides culturally sensitive service.

Confidentiality - The administrative assistant adheres to discretion and the rules and regulations set forth regarding confidentiality of information.

Safety and Environment of Care - The administrative assistant utilizes standard precautions and practice at all times, maintains a safe and clean work environment by complying with procedures, rules, and regulations.  

 Continuing Education - The administrative assistant maintains professional and technical knowledge by attending educational workshops, in-services, and establishing professional networks.  Maintains awareness of MVHS policies and procedures relevant to the position

Education/Experience Requirements

Required:  High School Diploma or GED
Preferred:  Associates Degree in Secretarial Sciences and/or comparable secretarial experience.

Licensure/Certification Requirements

Required: n/a
Preferred:  Certified Administrative Professional (CAP)
