Job Summary

The Development Assistant/Database Manager will be responsible for developing and maintain constituent records for the MVHS Foundations, including campaigns, funds, appeals and solicitations. Position will support daily data entry and management of gifts, deposits, credit card charges and reconciliation. The position will also assist  the Foundation Team in the coordination of prospect research and updating prospect data base and support events and projects of the MVHS Foundations. A background in finance is helpful as is the ability to learn or use fundraising software,  Blackbaud Raiser’s Edge. 

Core Job Responsibilities

  • The Development Assistant performs duties associated with database oversight including but not limited to: Maintaining accurate constituent records in Raiser’s Edge ensuring proper coding so that donor, mailing address, demographic and statistical information can be retrieved in a predictable manner; Running weekly and monthly audit queries, including NCOA – FSLH and SEMC; Maintaining database codes including Campaigns, Funds and Appeals, Code Tables, Attributes and Solicit Codes; Providing all necessary analytical reports and queries to support the Foundation Team and Finance; Overseeing gift entry and management of all gifts, matching gifts, pledges and pledge payments in accordance with IRS standards and the Foundation’s gift acceptance policy in a timely manner; Serving as Raiser’s Edge Administrator, maintaining supervisor rights and security of users; Ensuring that pledge agreements are completed, pledges are recorded accurately, pledge reminders are generated and outstanding pledge balance reports are run monthly.  


  • The Development Assistant performs duties associated with financial oversight including but not limited to: Overseeing the preparation of daily deposits of revenue received through events, memorials, mailings, and donations and maintains and scans daily deposits to shared drive for Finance; Overseeing the charging and batching of the daily credit card charges for all events and activities and reconciles accounts; Processing bi-monthly Foundation AP Check run and scans AP invoices for MHC entry; Preparing monthly and yearly financial and KPI reports for FSLH and SEMC for Finance Department and VP of Philanthropy; Bi-weekly submission of all Employee Payroll Deductions to Payroll Department; Overseeing and reviewing for accuracy hospital billing to the FSLH Foundation; Event auditor assisting with CMN Miracle Drawing and Stomp Out Cancer Telethon.


  • The Development Assistant performs duties associated with prospect research including but not limited to: Assisting in the coordination of prospect research and wealth screening and updating the prospect database systems integration and configuration.


  • The Development Assistant performs duties associated with office support including but not limited to: Supporting development team as needed with daily gift entry; Maintaining FSLH Foundation purchase requisitions; Other support as needed.


  • The Development Assistant performs duties associated with teamwork and collaboration including but not limited to: Collaborating with members of the interdisciplinary health care team for the purpose of achieving quality patient outcomes through Philanthropy; Recognizing the value, knowledge, expertise, insight and contribution of each member; Utilizing methods of collaborative decision-making, accommodation, negotiation, coordination, shared accountability, and consensus building to enhance interdisciplinary team-work. 


Education/Experience Requirements

Required:  Associate's Degree in Business, Marketing, Public Relations or related field
Preferred: Bachelor's Degree in Business, Marketing or Communications plus one to three (1-3) years of Fundraising Experience
