Job Summary
The Executive Assistant works under a senior executive, usually Vice President and above. Duties and responsibilities include providing high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and reconciling all receipts against corporate credit card charges. Responsible for confidential and time sensitive material. Familiar with a variety of the hospital's concepts, practices and procedures. May also train and supervise lower-level clerical staff.
Core Job Responsibilities
- Performs administrative support duites including but not limited to: answering and directing phone calls; producing and distributing correspondence memos, letters, faxes and forms; maintaining computer and manual filing systems; managing executive schedule and acting as liaison for executive team.
- The executive assistant performs calendar and meeting support duties including but not limited to: organizing/scheduling meetings & appointments; establishing meeting agendas with supporting documents; taking meeting minutes; making conference and travel arrangements.
- Addresses visitor issues including but not limited to: providing general support to visitors; responding to requests and making active referrals to subject matter expert/decision maker who can fulfill the request; provides culturally sensitive service.
- Represents MVHS by greeting visitors and interacting with internal & external parties on a hihgly professional level.
- Adheres to discretion and the rules and regulations set forth regarding confidentiality of information.
- Utilizes standard precautions and practice at all times, maintains a safe and clean work environment by complying with procedures, rules, and regulations.
- Maintains professional and technical knowledge by attending educational workshops, in-services, and establishing professional networks. Maintains awareness of MVHS policies and procedures relevant to the position.
Education/Experience Requirements

Associate's degree in related field

Three to five (3-5) years experience in mid-to-senior-level administration, business, management, or related field

Bachelor’s degree in business administration or related field
Licensure/Certification Requirements

Certified Administrative Professional (CAP)
