Job Summary

A Medical Office Assistant works under direct supervision of the office physician(s). Duties and responsibilities include administrative and certain clinical tasks. Has a vast knowledge of insurance companies policies and procedures. Submits appropriate information to meet insurance company and specialist’s needs. Maintains a line of communication between the patient, family, clinical staff, and other team members. Makes decisions and takes follow-up actions to ensure effective communication and information flow.     

Core Job Responsibilities

  • Performs administrative duties including but not limited to: monitoring/maintaining the electronic & paper medical records, coordinating communication between patients and medical staff, greeting and checking in patients and families, utilizing the computer for data, answering phones, booking appointments, managing insurance forms.
  • Performs clinical tasks including but not limited to: taking/recording vital signs (such as temperature, heart rate, blood pressure), taking/recording height and weight measurements, preparing patients for exams, cleaning/sanitizing exam rooms, drawing blood, giving vaccines, performing minor medical tasks (such as removing sutures or prepping patient for minor procedures).
  • Addresses customer issues including but not limited to: using knowledge of medical terminology and insurance procedures to act as a liaison between the patient and insurance agency, providing service excellence to patients and their families through offering empathetic and compassionate patient-centered care; professionally managing patients, families and care givers needs and concerns; responding to patient requests and making active referrals to subject matter experts who can fulfill the patient request; providing culturally sensitive care.
  • Utilizes standard precautions and practice at all times, maintains a safe and clean work environment by complying with procedures, rules, and regulations.
  • Adheres to the rules and regulations set forth by the Health Insurance Portability and Accountability Act including but not limited to : accessing EMR, entering referrals, transferring and discharging patients.
  • Maintains professional and technical knowledge by attending educational workshops, in-services, and establishing professional networks.
  • Maintains awareness of MVHS policies and procedures relevant to the position.

Education Requirements

Required: High School diploma or GED; One year of college
Preferred: Certificate or Associates Degree

Licensure/Certification Requirements

Preferred: Certified Medical Assistant (CMA)
