Job Summary

The Oncology Data Specialist (ODS) – Cancer Registrar is a data management specialist who collects, analyzes, and maintains comprehensive information on cancer patients. This involves reviewing patient medical records to abstract data on diagnosis, treatment, and outcomes, entering it into a database, and ensuring accuracy. Their work is essential for advancing cancer research, improving treatment protocols, and supporting public health initiatives and quality improvement programs.

Core Job Responsibilities

  • Responsible for maintaining the integrity and completeness of the cancer registry database.
  • Gather, abstract and manage complete, accurate information from patient medical records, including demographics, medical history, cancer diagnosis, staging, and treatment. 
  • Ensure the accuracy and validity of the data entered into the cancer registry software. 
  • Analyze data and report to identify trends, monitor survival rates, and assist in the creation of reports for researchers, clinicians, and public health officials. 
  • Manage the cancer registry database, which is used for state and national cancer statistics and research purposes. 
  • Use various techniques, such as reviewing medical records, pathology reports, and radiation or medical oncology files, to identify all reportable cancer cases.
  • Extract a complete summary of the patient's cancer history from medical records. This includes demographic information, diagnosis, stage of disease, treatment, and follow-up data.
  • Accurately codes cancer information, such as morphology and topography, using standard classification systems like the International
  • Classification of Diseases for Oncology (ICD-O).
  • Tracks the health status of cancer patients over time, including recurrence and vital status, to ensure a high case follow-up rate as required by accrediting bodies.
  • Maintains the cancer registry database and ensures data quality through regular edits and audits, and manages the submission of data to state and national registries.
  • Educate healthcare staff on cancer-related information and participate in educational activities. Collaborate with other healthcare professionals to support quality improvement initiatives. 
  • Keep up-to-date with the latest cancer registry standards, staging changes, and other industry trends by participating in continuing education.
  • Maintain strict confidentiality of all patient information and related communications. 
  • Participate in Cancer Committee and Tumor
  • Board/Cancer as required
  • Perform other duties as required.

Education/Experience Requirements

REQUIRED:

  • Associates degree in health sciences or related field
  • One year, post certification experience, in Cancer Registry
  • Proficiency with cancer registry software and Electronic Medical Record (EMR) applications.

Licensure/Certification Requirements

REQUIRED:

  • Certified as an Oncology Data Specialist (ODS)
