Supervisor, Rehab Support Services - Full time - Days
Job Summary
The Supervisor Rehabilitation Support Services plays a vital role in supporting the administrative and operational functions of the department. This individual is responsible for ensuring the smooth coordination of patient services, including accurate patient data collection, efficient scheduling, chart documentation, timely billing processes, and the onboarding and training of new administrative staff. Serves as a working team member who provides supervision and training to Rehabilitation Services support staff.
Core Job Responsibilities
Patient Data Collection & Management:
- Accurately collect, verify, and input patient demographic, insurance, and medical information into the hospital’s electronic health record (EHR) system.
- Ensure compliance with HIPAA and other relevant privacy regulations.
Scheduling & Coordination:
- Schedule initial and follow-up physical therapy appointments in coordination with clinical staff.
- Manage therapist calendars, optimize appointment flow, and reduce scheduling conflicts or delays.
Chart Accuracy & Documentation:
- Monitor patient charts for completeness and accuracy, ensuring proper documentation is in place for all visits.
- Work collaboratively with therapists and clinicians to resolve discrepancies or missing information.
Billing & Insurance Coordination:
- Verify insurance eligibility and benefits prior to appointments.
- Ensure accurate charge capture and timely submission of billing information.
- Address claim denials, errors, or discrepancies in collaboration with the billing department.
- Keep current in Medicare, Medicaid and insurance guidelines.
Training & Staff Supervision:
- Train and mentor new administrative staff on department protocols, software systems, and hospital policies.
- Track and monitor quality metrics for administrative staff.
- In partnership with leadership and HR, make recommendations related to performance management, hiring, transfers, promotions, disciplinary actions, and terminations. Resolves grievances and other staff problems in fair, timely and consistent manner. Ensures staffing and scheduling meets the needs of the department.
- Act as a resource for ongoing questions and workflow improvements.
Administrative Support:
- Assist with generating departmental reports, managing supply inventory, and supporting quality assurance initiatives.
- Collaborate with other hospital departments to support interdisciplinary patient care and departmental goals.
- Perform related duties as required.
Education/Experience Requirements
REQUIRED:
- Associate’s degree or equivalent experience in healthcare administration, business, or a related field required.
- 3 years of administrative experience in a healthcare setting, preferably in physical therapy, rehabilitation, or outpatient services.
- Knowledge of medical terminology, billing processes, and insurance guidelines.
- Excellent interpersonal, verbal and written communication skills.
- Excellent time management skills and the ability to manage multiple priorities.
- Proficient with MS Office tools and able to learn new software rapidly.
PREFERRED:
- Knowledge of EPIC EHR
